Recruiter Work Intelligence

A recruitment workflow checklist that keeps the work connected.

Use the same clear process from mandate intake to feedback and close-out.

Recruitment work can fragment across job descriptions, inboxes, spreadsheets, candidate profiles, interview notes and client messages. A consistent workflow reduces missing context, but the process must still fit the team's legal obligations and operational needs. Use this checklist as a starting point and adjust it for the role, client and hiring process.

1. Define the mandate before sourcing

  • Role purpose and day-to-day responsibilities
  • Required versus preferred qualifications and skills
  • Location, work arrangement, compensation range and constraints
  • Hiring stages, decision owners and expected timelines
  • Job-related screening criteria and how each will be evidenced

2. Agree a fair screening process

Use criteria tied to the role, and apply them consistently. Distinguish evidence from inference; do not treat missing information as proof of poor ability. If AI summaries or scores are used, review the source material, look for errors and keep a person accountable for consequential judgements. Avoid using protected or irrelevant personal characteristics as proxies for suitability.

3. Maintain candidate communication and data hygiene

Record the next action, owner and follow-up date for each active candidate. Explain how candidate information will be used and shared in line with the applicable policy and permissions. Keep client mandates separated where required, restrict access to people who need it, correct inaccuracies and remove information when retention is no longer justified.

4. Keep feedback actionable

After a screening call or interview, capture job-related evidence and specific follow-up questions rather than vague labels. Share feedback with the right people, record decisions and avoid copying sensitive notes into uncontrolled channels. When a candidate is declined, ensure the decision is reviewed through the agreed process and communication is handled respectfully.

5. Review workflow health

  • Open roles without a clear next action
  • Candidates waiting for feedback beyond the agreed period
  • Time between stages and avoidable hand-off delays
  • Source quality and recurring skills mismatches
  • Incomplete records, access issues and candidate communication gaps

6. Evaluate recruitment software accurately

During a product walkthrough, verify which stages, permissions, candidate views, integrations, automations, reporting and audit records are actually enabled. Do not assume that a public product description means a feature is live in every account. Test one representative role and a small, authorised set of records before committing to a wider rollout.
