Institutional employability
How to plan a responsible student employability pilot.
Start with purpose, permission and measurable questions—not a dashboard promise.
A college or placement cell may coordinate student profiles, projects, skills, preparation, applications and outcomes across multiple records and teams. A pilot can help test whether a connected workflow improves visibility, but only when its purpose and evidence are defined. This guide is a planning checklist, not a claim that a particular dashboard or integration is already available in ACOSYSTEM.
1. Define the problem and cohort
Write down the operational question the pilot should answer: for example, whether staff can find missing preparation evidence, follow up with students consistently or reduce manual report compilation. Identify the participating cohort, pilot owner, dates and boundaries. Avoid starting with a broad goal such as improving employability without specifying what will change in practice.
2. Establish data purpose and permissions
For each field, document why it is needed, its source, who can view it, how it can be corrected and how long it will be retained. Use authorised data and obtain consent where required. Separate student-provided information from verified results, and avoid collecting personal details simply because a system offers a field for them.
3. Define useful evidence
Choose measures that reflect observable activity and have a clear source. Examples might include participation in a preparation activity, completion of an approved project, a documented application stage or the time needed to compile a report. A missing record is not proof that a student lacks ability; label incomplete data honestly and provide a correction path.
4. Agree access and accountability
Specify which staff can view, edit, export or delete records. Decide how students learn what is visible to the institution or recruiters, who responds to corrections and how incidents are escalated. Confirm whether access is separated across cohorts, departments and external hiring partners.
5. Measure the pilot with a baseline
Record the starting process before changing it. Set a small number of measures, identify the data owner and choose a review date. Compare the new workflow with the baseline, document missing or changed data and collect feedback from students and staff. Do not infer causation from a small before-and-after comparison without considering other changes.
6. Confirm software capability before importing records
Ask for a walkthrough of roster management, student-facing controls, permissions, placement workflow, exports, auditability and recruiter connections. Test with synthetic or appropriately authorised sample data first. Confirm what is live, what is manual, what is planned and what requires configuration. Expand only after the pilot demonstrates value without compromising privacy or data quality.
Where ACOSYSTEM fits
ACOSYSTEM's institutional direction is to connect student employability visibility and placement coordination with the wider Career Operating System. Some roster, cohort and reporting workflows require verification in the current beta. Request an institutional discussion before relying on a specific dashboard, metric or integration.
